Step-by-step guide
Use Andmera for day-to-day accounting
A practical walkthrough from setting up a company and its books to handling documents, payments and reports. Follow the steps in your own workspace; the options you see depend on your access and selected period.
Before you begin#
- Sign in and open your workspace. Select the correct company, project and accounting period from the selectors at the top of the app.
- Ask a workspace administrator for access if you cannot see a company or project. Editing accounting records requires the appropriate project access and an open period.
- Have the company details, chart of accounts and source documents for the chosen period ready. Keep the original files for review.
01
Set up your company#
Use Settings → Company setup to see which parts of your accounting workspace have been recorded.
- In Settings, open Company setup and select a company, project, fiscal year and accounting period.
- Open Company accounting settings to record jurisdiction, base currency and fiscal-year dates. The guide shows recorded setup, not accounting or tax approval.
- Check Periods, then create and activate the accounts you need in Chart of accounts. Register an active asset account as Bank or Cash under Books → Setup → Bank and cash accounts.
- Review Opening balance and add active buyers and suppliers. The checklist numbers and status badges update as records are saved.
02
Add and inspect source files#
Keep invoices, receipts and other evidence with the company and project where the work is done.
- Open Files and select the appropriate company and project before uploading a document.
- Upload your source files, then open a file to inspect the original document alongside any extracted data. Check names, dates, amounts and counterparties against the source.
- If an extracted field looks wrong, correct the record in the relevant workflow before posting or approving. An uploaded file is evidence, not a posted journal entry.
03
Work with the Accounting Agent#
Use Agent chat to ask questions and prepare work with the selected company and period in context.
- Open Agent chat and select Accounting-Agent. Describe the task and refer to the relevant files or records, for example: review the invoices in this period and identify missing information.
- Inspect the agent's proposed results and the source files before applying any changes. Confirm accounting decisions yourself.
- Use the session menu's View workflow action to inspect the work. Stop a running request if needed; closing a running chat tab also cancels that session.
04
Maintain accounts and journal entries#
Books holds account setup, journal entries, balances and close-readiness checks.
- Go to Settings → Chart of accounts to add or activate ledger accounts. In Books → Setup → Bank and cash accounts, register bank and cash accounts separately from the chart.
- For a bank account, choose Bank IBAN on its row and save the IBAN before importing a bank statement.
- Under Books → Journal entries, create a draft with a date, description and balanced debit and credit lines. Review the accounts and period before posting.
- Use Account balances and Close readiness to inspect movements and unresolved items. A closed or locked period is read-only; choose an open period for new postings.
05
Record invoices and counterparties#
Billing separates draft work from confirmed invoices and keeps customer and supplier records close to the transactions.
- Open Billing → Buyers and suppliers and add the active counterparty before entering an invoice.
- Create a sales or purchase invoice draft. Check the counterparty, invoice number, date, amounts, VAT details and account assignments against the source document.
- Confirm only after review. Corrections and other actions depend on the invoice's status, your access and the accounting period.
06
Record payments and import statements#
Payments contains incoming and outgoing payments, bank statements, advances and loans.
- Open Payments and use the Payments tab to find a payment by direction, status or search. Create a manual payment draft when needed, then review and confirm it.
- To import a CAMT.052 or CAMT.053 XML bank statement, open Bank statements. Select an active registered bank account with a saved IBAN, the incoming and outgoing clearing accounts, and one XML file up to 2 MB.
- If the bank has no IBAN, select it and follow Bank IBAN to save the identifier in Books. After import, review new payments and overlapping duplicates in the statement history.
- Link confirmed payments to confirmed invoices. Review exact-match and partial-match suggestions before applying them; unlinked amounts stay in clearing.
07
Review reports and custom report lines#
Use Reports to inspect results for the selected company and period, then trace unexpected figures back to their records.
- Open Reports and select the relevant accounting report, such as a trial balance, profit and loss statement or balance sheet. Check that the selected period matches your source records.
- Inspect balances, underlying journal entries and supporting files before relying on a figure. Review any failed checks or missing mappings.
- For company-specific presentation, open Settings → Custom report lines. Create a dated draft mapping, choose included accounts and line labels, and review coverage and reconciliation before approving a version.
08
Handle credits and advances#
Corrections and prepayments have their own source records and must be reviewed separately from ordinary invoices.
- In Billing, prepare a credit invoice against the appropriate original invoice. Check amounts, VAT treatment and any refund due before confirming it.
- Under Payments → Customer advances or Supplier advances, record and review prepayments, then apply them to the matching confirmed invoice when available.
- Use the payment and journal links to inspect settlement entries. Check that applied advances and refunds do not count the same transaction twice in reports or VAT evidence.
09
Track loans and principal payments#
Loans connect a contract to confirmed payments already in the books; they do not send money.
- Open Payments → Loans and create a loan draft with the counterparty, contract reference, date, principal and principal account.
- Review disbursement against an existing eligible confirmed payment. When funds are repaid, review the outstanding principal and link a confirmed repayment.
- Inspect the linked source payment and posted journal. Interest and loan cash movements are not calculated or initiated by this principal-tracking workflow.
10
Manage non-current assets#
Track asset cost, depreciation and corrections from a posted accounting source.
- Open Books → Non-current assets. Start with a confirmed purchase invoice or posted opening journal, then register the asset, acquisition cost, residual value, useful life and the required accounts.
- Review the monthly straight-line depreciation preview before posting depreciation to the selected open period. Check the journal and carrying value afterward.
- When applicable, review asset disposal, impairment, impairment reversal or a depreciation correction. Preserve the source invoice and earlier entries for audit.
11
Record personnel and compensation#
Personnel keeps employee details, contracts, absence reviews and accountant-entered compensation records together.
- Open Personnel to add a person and contract. Record absences and review approved leave for the compensation period.
- Create a compensation draft, enter gross amount, deductions and employer contributions, then check expense and payable accounts before confirming the journal.
- Link confirmed outgoing payments to the outstanding net wages and verify the payee against the saved IBAN. Download a confirmed payslip if needed.
- The TSD payment evidence view helps review actual payment dates and missing inputs. It does not calculate tax automatically or generate a filing-ready TSD XML.
12
Inspect other books reports#
Use the report views to investigate the ledger beyond the trial balance and profit and loss statement.
- In Books → Reports, open annual report preparation, cash movements, invoice aging or cost/profit center reports as relevant to your work.
- Review comparisons, opening and closing amounts, linked invoices and contributing journal entries. Check the displayed source revision before reusing a saved report.
- Use a current review version when underlying entries have changed. Generate or export reports only after reconciling the selected company's books.
13
Review agent outputs and close readiness#
Generated reports, dashboards and approvals are distinct from accounting entries.
- Open Reports or Dashboards to inspect generated outputs, their underlying files and the reporting period. Use Approvals to leave comments and approve or reject outputs where you have access.
- Review Books → Close readiness and investigate unmatched payments, missing evidence and unresolved differences before the period is closed.
- Approving an agent-generated report does not post a journal or file a tax declaration. Posting, declaration approval and filing are separate explicit actions.
14
Finish the review#
A complete accounting cycle needs both source evidence and human judgment.
- Return to Company setup to review recorded checks and any opening balances that still need attention.
- Check that documents, invoice details, payments, journals and report figures agree. Investigate unmatched payments and incomplete mappings.
- Resolve exceptions and retain the source documents and decisions with the correct company and period before sharing or exporting a report.
Common questions
Why can't I edit or confirm a record?
Check the selected company, project and period. Writing requires the right project access and an open period; closed or locked periods are read-only.
Why is the bank-statement import button disabled?
Select an active registered Bank account with a saved IBAN, valid incoming and outgoing clearing accounts, and a non-empty CAMT XML file no larger than 2 MB. A Cash account cannot be used for a bank statement.
Why can't I delete a ledger account?
The account may be in use by a journal, invoice or accounting setting. Use the references in the deletion error to locate the source, or deactivate the account instead.
Why doesn't a payment match an invoice automatically?
Only eligible confirmed records can be linked. Review the counterparty, reference and available amounts, then inspect suggested matches or link the payment manually.
